- A direct access system of classification of records is a system in which the browsing of files and records is allowed, little time is spent filing or retrieving records, and an additional index is unneeded as the file can be located by going to the location directly.
- The direct access system can be unmanageable and difficult to use when a large amount of records are stored. A comprehensive protocol of filing rules must be created and adhered to for the system to work. Record duplication may occur due to this system not requiring an index.
- To evaluate if the direct access system of classification is right for your organization, consider the following: System simplicity allowing ease of use; flexibility and the ability to allow additional records to be added; functionality and practicality for the purpose for which it is designed; and standardization, the terms to describe the records are clear and easy for users to understand.
